How about you simply send the expected amount of the monthly payment, so they don't screw it up? Then maybe once a quarter you can send in a separate check for principal only and make sure they receive that check in the middle of the month so they don't get confused with the monthly payment. Wonder if they are hiring cheap labor and not training them on procedures.
